Optional

Optional. A few words help the reply sound like you (e.g. a family-run café).

Optional

Optional, but useful for negative reviews: what actually went on, what you've done, or what you're genuinely willing to offer. Without it the reply stays general rather than promising anything.

The review
Food was good but we waited 45 minutes for mains on a Tuesday night when the place was half empty. Nobody came to explain or apologise, we had to flag someone down twice for water. Shame because the cooking itself was genuinely lovely.

What happened, or what you can offer
We were short two front of house staff that night due to illness and did not handle it well. We have since changed our policy so that if we are short staffed the manager greets every table and explains upfront. Would like to invite them back for a meal on us.

What came back

Being half empty and still leaving you 45 minutes for mains, with no one telling you why and having to flag someone down twice for water, is exactly the kind of night we don't want anyone to have. We were short two front-of-house staff that evening and didn't manage it well. We've since changed how we handle that: if we're short-staffed, the manager now goes to every table to explain upfront rather than leaving people wondering. Glad the food came through despite it all. We'd like to have you back for a meal on us, please get in touch directly so we can sort it.

When to use it

Use this for replying in public to a review, good or bad. The rating changes the job entirely, so it is a setting: a five star reply should be short and specific, while a two star reply has to acknowledge what happened without arguing, because the audience is the next person reading, not the reviewer.

Common questions

Who am I actually writing for?
Everyone reading the reviews later, not the reviewer. That is why a defensive reply is so costly: the reviewer may never return, but hundreds of people will read how you handled it. A calm, specific response to a bad review often does more for you than a good review does.
Should I reply to positive reviews too?
Yes, briefly. Set the rating and the reply stays short and specific rather than producing a paragraph of gratitude. Referencing the actual thing they praised takes one line and reads as a real person.
What if the review is unfair or untrue?
Put your side in the box and the response states the facts without arguing. What it will not do is call the reviewer a liar, because that reads badly to everyone else no matter who is right. If a review breaks the platform's rules, report it separately.
Will it promise things on my behalf?
Only what you type in. It will not invent a refund, a free meal or a policy change you did not offer. If you want to offer something, say so in the last box and it is worked in properly.
