When to use it

Common questions

What is the internal note for?
The ticket, not the customer. It summarises what happened and what was done so the next person to touch the account has the context without rereading the thread. Do not paste it into the reply.
Will it apologise too much?
No, and that is a specific thing it avoids. Apologising in every sentence reads as either insincere or panicked, and it makes a fixed problem sound worse than it was. Responsibility is taken once, clearly, then the reply moves to the resolution.
Does it use support clichés?
It is instructed against the worst of them, including "we sincerely apologise for any inconvenience", "your satisfaction is our top priority" and "rest assured". Those phrases signal form letter to anyone who has ever contacted support, which is everyone.
